The pawnbroker police register, generated from your own loan book

Copying loans out by hand into a register is the part of pawnbroking nobody defends. Varadhi Gold builds the register from the loans you already entered, generates it as a PDF, and records that it was sent and acknowledged.

A register copied by hand is a register that disagrees with the loan book

Every licensed pawnbroker in India has to keep a register of what has been pledged, and be able to produce it. In most shops that means someone transcribing entries out of the loan book into a separate book — which is slow, and which guarantees that sooner or later the two will not match.

Varadhi Gold generates the register from the loan data itself. Because the loans were entered once, at the counter, with the customer's details and the pledged items already attached, there is no transcription step and therefore nothing to transcribe wrongly.

The output is a PDF you can download or send over WhatsApp, with a free-text remarks field for anything the officer has asked for. Once it has gone, the app records it as submitted, and then as acknowledged — so you can show not just what was filed but when.

What the module does

Built from the loan book
The register is generated from the pawn loans you already recorded, so it cannot drift away from the loans it describes.
PDF output
Generate the register as a PDF, open it, or download it — a document that can be handed over or filed.
Remarks for the officer
A free-text field for any special remark the visiting officer wants included, kept with that submission.
Send over WhatsApp
Where the local practice is to send it across rather than carry it in, the register goes straight out of the app.
Submitted and acknowledged
The app records that the register was sent, and separately that it was acknowledged — two different facts, both worth having.
Nothing re-keyed
Customer details and pledged items come from the loan record, entered once at the counter with photographs and a signature already attached.

What it gives you

Filing the register

1
Enter loans once, at the counter
Customer, items, photographs, signature. This is work you were doing anyway — it is now also the register's source.
2
Generate the register
The PDF is built from those loans. There is no second book and no copying stage where errors get in.
3
Add any remarks
Anything the officer has specifically asked to see goes in the remarks field for that submission.
4
Send it
Download it to hand over, or send it over WhatsApp where that is the local practice.
5
Record the acknowledgement
Mark it submitted, then acknowledged. Months later you can show what was filed and when it was accepted.

Why generating beats copying

The failure this removes

A hand-copied register goes wrong in one specific way: a loan is amended — a part payment, a top-up, a correction to a customer's details — and the register still shows what was true last month. Generating the document from the loan book means the register reflects the loans as they stand, every time it is produced. The submission is then logged against the date it went out.

One source of truth

Frequently asked questions

Does this replace the register I keep now?

It produces the register as a PDF from your loan data, so the register is generated rather than transcribed. What your local authority accepts — a printed copy handed over, or a file sent across — varies by state and by station, and the module supports both: download the PDF, or send it over WhatsApp.

Can I add something the officer specifically asked for?

Yes — there is a remarks field on the submission for exactly that, and it stays attached to that register.

How do I prove I submitted it?

The app tracks the register as generated, then submitted, then acknowledged. Those are recorded as separate states with their dates, so you can show what was filed and when it was accepted.

Where does the register's data come from?

From the pawn loans themselves — the customer, the pledged items and the loan details you entered at the counter, which already carry item photographs and the customer's on-screen signature.

Where is my shop's data stored?

In India. Our servers are in a Mumbai data centre. Your customer records, loan book and bills stay yours — we never share them with third parties, and you can export everything to Excel whenever you want.

Can my staff use it without seeing everything?

Yes. Each staff member gets their own login, and every entry is tagged with who made it. You as the owner see the whole shop; staff see only what you allow. That works the same for a single counter and for branches in different towns.

What if I want to stop using it?

Send one WhatsApp message. We export your full data to Excel, hand it over, and that is that. No contract, no lock-in, no retention phone calls. The no-card-required promise applies on the way out too.
